OVER THE LIMIT

Technology allows us to do things faster than we could do manually. There is a strange paradox, however. It seems that as our proficiency increases, our productivity decreases. We try to do too many things simultaneously, and instead of getting more done, we do more waiting. We can only perform as many functions as the memory can handle, as fast as the processor can execute them and store as much as the hard drive can hold. We then have to continually invest resources to increase our hardware capacity if we want to exceed existing limits.

We use the software on our computers, servers, and smart devices to accomplish everything. While the operating system is the platform (environment) that determines the look and feel of our digital workspace, we install various applications on top of it to perform the tasks we want. As our skills increase, we require better features to surpass our capability, and this on-going cycle significantly inflates our budget.

When we’re in the office, we save our files to a server, which is the company’s central repository for data. We access our email, collaborative tools, and the Internet much in the same way. Yet the speed in which we can perform these tasks depends on the amount of available network bandwidth (speed) connecting (wired or wifi) our computer or smart device to those resources. Faster access requires faster network equipment, and the time/money paradigm continues.

Within our hardware exist many micro components that are either performing a task or sitting idle. The longer they run without rest, the faster they will fail. We have to ensure against the inevitable by saving our work often, backing up our systems frequently, and having duplicates of critical systems on standby. Proactive data protection, equipment maintenance, and application updates are a considerable, on-going overhead expense, not to mention the cost of all that downtime.

Moving our software requirements to the cloud means having anywhere, anytime access to do everything. We can create documents, spreadsheets, and presentations on our office desktop or laptop, yet make an edit at Starbucks from our phone and then finalize it at home from our iPad. We can do the same with our notes and task lists, email and scheduling, graphic design and desktop publishing, project management, and more. With all our data automatically saved to the cloud and the software always up to date with the latest features, we can do much more than ever before. And on a fixed budget as well.

Everything we do on office servers can be done from the cloud instead. All files, email, and custom-built applications can reside in the cloud, which automatically replicates across multiple servers around the world. If one suffers a failure, it would barely affect us if at all. Larger organizations may use a private cloud for some or all of their functions, giving them more control over security, hardware, and location of resources. Other organizations may opt for the less expensive, less labor-intensive public cloud option, which the service provider manages. Hybrid solutions, using a combination of the two cloud models, are also a common practice.

We are all familiar with Netflix, Hulu, Spotify, Amazon, and online banking for our personal use. Cloud-based services also exist for every business need or function. Want to monitor employee productivity? How about Customer Relationship Management (CRM)? Employee records management, time and expense tracking, payroll, accounting, marketing, you name it. All the tools we need to perform every task are in the cloud as a monthly or annual subscription service. Also, those continuously changing privacy regulations and security compliance mandates, such as HIPPA, SEC, and others relevant to the specific type of data stored, are maintained by the service provider, which ensures that we always meet or exceed current standards.

With our data stored in the cloud and our applications either fully web-based or hybrid-ly installed on our computers, we can shift our IT budget to a more efficient model. By reallocating the expense of most of our network infrastructure to focus on bandwidth speed, stability, and security, we will maximize our cloud investment while significantly reducing our spending on equipment maintenance, hardware upgrades, data recovery, and technician labor.
